Interview privacy

The short version
Someone at your organisation has asked you to answer a Nuggetz interview. Before you start, this is what happens to what you say.
- Your organisation decides all of this, not us. They chose to run the interview, wrote the questions, and decide who reads the answers. We run the software on their instructions.
- Your answers are not anonymous. Whoever runs the interview can see what you individually said, in your own words, next to your name.
- If you speak, your audio is never stored. It is turned into text as you send it, and the recording is gone the moment that finishes. The transcript is kept; the recording never existed to keep.
- Nothing you say is used to train AI models — not ours, and not any third party's.
- The link is not public. Interview links are never indexed by search engines, and the person who created the interview can close it at any time.
- You do not need an account. You give your name on the first screen; an email address is optional.
- Questions about your data normally go to your own organisation first, because it is their decision. You can also reach us at privacy@nuggetz.ai.
This policy explains how Nuggetz handles personal data belonging to people who answer a knowledge interview ("Respondents"). It is separate from our main Privacy Policy, which covers visitors to our website and people who hold a Nuggetz account.
1. Who decides what happens to your answers
The organisation that sent you the interview — normally your employer or client — is the controller of the personal data in your answers. They decided to run the interview, chose the questions, decide who inside their organisation can read the responses, and decide how long to keep them.
Nuggetz is a processor. We handle your answers on that organisation's instructions and for no purpose of our own. We do not decide what is asked, who is invited, or what is done with the result.
Nuggetz is the controller of a narrow set of operational data — security logs, error diagnostics and the technical records needed to run the service safely. Section 7 covers your rights and explains which of us to approach.
2. What we collect
- Your answers: what you type, or what you say if you answer by voice. Interviews are open-ended, so you decide what to include. Please do not include personal details about yourself or anyone else beyond what the question needs.
- Your name: collected on the first screen so your organisation knows who contributed. An email address is optional and used only if the organisation wants to contact you about your response.
- Audio, if you speak: your speech is recorded so that it can be transcribed. See section 4.
- Technical data: IP address, browser and device information, and error diagnostics, used to deliver the interview, keep your progress if you pause and return, and protect the service against abuse.
We do not ask for special category data — such as health, beliefs or trade union membership — and interviews should not be designed to elicit it. Where an interview offers more than one language, the language you choose on the first screen is stored with your response so the organisation knows which language you answered in.
3. What we do with your answers
Your response is transcribed and summarised. The reusable knowledge in it is separated into individual items, which are compared against what other colleagues said on the same topic and marked as confirmed, single-source, conflicting or missing. Settled knowledge is then written into a handbook the organisation can follow, in which each instruction remains linked back to the interview evidence it came from.
This is not anonymous. Within the organisation's Nuggetz workspace, the people running the interview can see what you individually contributed, alongside the words you used. If a handbook instruction traces back to something you said, that trail leads to your response.
4. Recordings
If you answer by speaking, your audio is never stored. The recording is sent straight to the transcription service within the same request, held only in memory while it is turned into text, and is gone the moment that request finishes. There is no recording to retrieve afterwards, by us or by anyone else. Only the transcript is kept, as part of your response. We do not use your voice for biometric identification, voice matching, or emotion or sentiment inference about you as an individual.
5. AI and automated processing
Nuggetz is AI-moderated. Software, not a person, asks the follow-up questions, decides when to explore an answer further, and drafts the summaries and handbook text. A person at your organisation reviews and controls what is published.
Your answers are not used to train AI models. Not ours, and not those of the AI providers we use. We engage those providers only under terms that prohibit them from using your content to train or improve their models.
Nuggetz does not evaluate, score, rank or profile you. It is a tool for writing down how work is done, not for assessing the people who do it. No decision producing legal or similarly significant effects for you is made by automated means on the basis of your response.
6. Who sees your answers, and where they are held
- Your organisation: the people it has given access to its Nuggetz workspace.
- Our service providers: Microsoft Azure hosts the application in the EU — the application in West Europe and the database in North Europe. Microsoft Azure AI Foundry provides the AI processing. Azure Application Insights, also in the EU, receives technical error diagnostics so we can fix faults. They act on our instructions and may not use your data for their own purposes. Our main Privacy Policy lists them in full. Everything you say stays in the European Union: the transcription service that turns your speech into text is an EU Azure resource, as is everywhere your answers are stored.
- Not our analytics tools. The product analytics we use to understand how the software is used — Google Analytics and Microsoft Clarity — run only inside the signed-in workspace our customers use. They do not run on the interview page you are answering on, and they do not record your session.
- Nobody else. We do not sell your data, share it for advertising, or disclose it to anyone other than as described here or where the law requires it.
Interview links carry instructions to search engines not to index them, so the content of an interview or a shared handbook does not appear in public search results.
7. How long it is kept
Your organisation decides how long to keep your response, because the data is theirs. Nuggetz does not delete responses automatically or on a timer: your response is kept until someone at your organisation deletes it, either individually or by deleting the whole interview, which also deletes every transcript and everything derived from it. The person who created the interview can also close it at any time, after which the link stops accepting new answers.
8. Your rights
If you are in the European Economic Area or the United Kingdom you have the right to ask for access to your personal data, to have it corrected or erased, to restrict or object to how it is processed, and to receive it in a portable form.
Because your organisation is the controller, address these requests to them first — they decide the outcome. If you contact us instead, we will pass your request to them and help them answer it. Write to privacy@nuggetz.ai.
Two questions people ask most often, answered plainly. Can you withdraw your response after submitting it? Not from your side — there is nothing to sign in to. But your organisation can delete an individual response, so ask them and they can act on it. Can you get a copy of your own transcript? Not directly; the interview has no login and no download. Ask your organisation, who can see the full transcript and give you a copy.
9. Security
Data is encrypted in transit and at rest. Access to a workspace requires authentication, and our staff access customer content only where necessary to operate or support the service. If you believe you have found a security problem, please write to security@nuggetz.ai.
10. Contact and complaints

You may instead complain to the authority where you live or work, or to the one that supervises the organisation that sent you the interview.
